Position Description – Office Manager
Job Summary
The Office Manager will oversee the general administrative function and activities of the office.
Duties and Responsibilities
- Greet and connect visitors with staff members and arrange amenities as needed
- Pick up and distribute mail to staff
- Maintain and update mail, email, and telephone directories
- Using proper telephone etiquette, handle all phone inquiries within capacity, taking messages and arranging call-backs where necessary to protect the time of the President and VPs, routing calls elsewhere as needed.
- Take detailed messages if applicable and provide back-up materials for all call-backs
- Conduct phone surveys / inquiries as needed.
- Assist President / VPs in meeting preparation activities including meeting room / facility set-up and catering arrangements
- Manage daily office function including re-ordering office and kitchen supplies, communicating with office cleaning team and being the direct contact for supply and equipment vendors, troubleshooting problems as they arise
- Work with Bankhead House & Heritage Center and White House on 5th staffs to provide support as needed
- Other duties as assigned
Required Skills and Abilities
- Knowledge of office management procedures
- Excellent verbal and written communication skills (including legible handwriting)
- Excellent interpersonal and customer service skills
- Excellent organizational skills and attention to detail
- High level of creativity
- Proficient with Microsoft Office and related software
- Ability to become proficient in CSuite – the Foundation’s software management system, updating files and providing maintenance as needed
Education, Experience, and Physical Requirements
- High school diploma required, Associate’s degree or higher preferred
- At least three years of administrative and clerical experience preferred
- Ability to lift and move up to 20 pounds at times
Salary Range
$35,000-$40,000
